Artificial intelligence (AI) tools are becoming part of everyday academic life — from drafting research summaries to designing course materials or even brainstorming with students. These tools are powerful, but they also come with risks. That’s why Responsible AI Disclosures are so important.

What Is a Responsible AI Disclosure?
A Responsible AI Disclosure is a short statement that explains how an AI system was used, what it can (and cannot) do, and the risks that come with using it.
When you see language like “This system is powered by AI models that generate outputs based on patterns in data”, the word system refers to the whole package:
- The AI model (the trained network generating text, images, etc.)
- The infrastructure (servers, APIs, and the user interface you interact with)
- The safeguards (filters, usage policies, and monitoring tools)
In plain terms: the “system” is the entire AI tool that takes your input, processes it, and produces an output.
Why Should Faculty Care?
Responsible AI Disclosures matter in higher education for at least three reasons:
- Academic Integrity – Students and faculty must clarify how AI was used, to avoid plagiarism or over-reliance.
- Teaching and Mentoring – Disclosures help model ethical AI use for students.
- Research and Publishing – Many journals and funders now expect transparency in how AI contributes to scholarship.
What Does a Disclosure Look Like?
Here’s a sample disclosure statement with explanations that can be adapted for teaching, research, or student work:

- While safeguards are in place, no system can guarantee complete protection of user data.
Safety and Security

In the European Union (EU), higher education institutions don’t yet have a single education-specific rule requiring AI disclosures — but several legal and policy frameworks mean universities and their students are expected to provide Responsible AI Disclosures in practice:
🔹 EU AI Act (entered into force August 2024, phased implementation to 2026–27)
The AI Act is the EU’s comprehensive law on artificial intelligence. It introduces transparency obligations for AI systems, especially general-purpose AI (like ChatGPT) and systems classified as “limited risk”.
For higher education, this means: Students and faculty must be informed when interacting with AI (e.g., if an online portal or teaching tool uses AI). Any AI-generated content (chatbots, synthetic text, images, etc.) must be clearly disclosed. Research projects using AI must explain the system’s role and limitations, aligning with Article 52 (“Transparency obligations for certain AI systems”).
🔹 Academic & Research Publishing in the EU
Publishers and research bodies in Europe (e.g., Elsevier, Springer Nature, Taylor & Francis) now require AI disclosures in journal articles, grant applications, and conference papers.
- AI cannot be listed as an author.
- Authors must disclose if AI assisted in writing, summarizing, or data analysis.
- This impacts EU-based universities, since faculty and PhD students submitting to European journals must follow these rules.
🔹 EU Data Protection & Ethics Guidelines
GDPR (General Data Protection Regulation) requires transparency whenever personal data is processed — which includes AI-assisted systems.
The European Data Protection Board (EDPB) has clarified that organizations (universities included) must disclose when AI tools handle personal data (e.g., in admissions, grading, or student advising systems). European University Association (EUA) has also issued guidance encouraging AI disclosures to safeguard academic integrity and ethical use in teaching.
🔹 In Practice: What EU Universities Are Doing
Many universities in the EU are implementing AI disclosure policies ahead of regulatory deadlines.
For example:
Faculty are asked to include AI statements in syllabi.
Students are encouraged (or required) to attach disclosures in essays, theses, and research projects.
Research ethics boards are starting to include “AI use disclosure” as part of project approvals.
